Evergreen Garden Care NZ Ltd (Tui Products) has been helping Kiwis produce fantastic results in their gardens for more than 100 years, supplying quality home garden products through DIY stores, garden centres, agricultural merchants and other major retailers. 

Today, Tui Garden Products is celebrated for its innovative approach to all things gardening, and the innovation and forward-thinking doesn't stop there - they have been using SwipedOn to streamline their internal sign in process since 2019. We caught up with Mel (IT Manager) and Kerry (HR Manager) to find out some of the reasons they love SwipedOn.

Challenges

What system or process were you using before SwipedOn to manage visitors and employees?

Before we decided to go down the digital route, we used a paper visitor book.

What were the challenges your company faced which drove the need to replace your paper visitor book with a digital solution?

The reception area is unmanned, so visitors had to sign in manually and then ring a bell for someone to come and greet them, and then that staff member had to call or go and find the person who was hosting the visitors.

 This whole process was pretty tedious and meant that visitors were often left waiting in reception for a long time.

What criteria did you use to select a new visitor management system?

 We needed something that was easy to implement and also easy for our team to use, we don’t have a big IT team or someone dedicated to implementing new technology so it was critical that whatever we chose could be easily picked up by anyone.

 It also needed to be cost-effective.

How did you come across SwipedOn?

We found SwipedOn when we visited another company that was also using it and highly recommended it. The price was right so we went with it. 

Results

What specific features of SwipedOn are most beneficial to you?

The main priority (aside from ease of use) was a system that would help us improve our Health & Safety procedures. We needed something that could streamline our emergency evacuation process, something that would give us an accurate record of who was on-site or not.


We have recently started to use the Inductions AddOn to help us ensure that all visitors coming on-site have been made aware of our specific hazards and have acknowledged these via a short quiz. The inductions AddOn is something that we are looking to utilize a lot more in conjunction with visitor preregstration, so we can have all these requirements taken care of before visitors have even arrived.


Since implementing SwipedOn we have also made use of the Employee Sign In functionality, the ability to automatically sign in employees with the Pocket App has been a game changer for us, as previously people would traditionally forget to sign in or out. Now we have an even more accurate record of who is on-site or at home at any given time.


We also like the ability to take visitor photos when people come onsite. It makes it a lot easier to identify who is a visitor to the site, especially in the case of an emergency situation.

How did SwipedOn improve your visitor experience and internal processes?

As mentioned, the ability to simplify the employee sign in process with the location auto sign in via Pocket App has been incredibly useful. We have factory staff who don’t enter through the main entrance where the iPad is located so this way it’s easy to ensure they are signed in for the day.

 Our evacuations and roll calls are much more reliable now as a result of SwipedOn, and our health and safety and compliance procedures are more robust.

 Using SwipedOn to automate visitor arrivals and notifying staff members has improved the visitor experiences tenfold as they do not have to wait around in reception wondering what to do.

Are there any measurable outcomes or KPI that demonstrate the success of SwipedOn at Evergreen?

Signing in and out each day is a requirement for employees, so having a digital system like SwipedOn has enabled us to track who is signing in and means we have visibility over those people who are not and we can follow up with them directly.

 It has also allowed us to keep our reception unmanned, meaning we are saving on the cost of having a dedicated receptionist.

Could you tell us a little about your previous visitor management process before implementing SwipedOn? For example, did you use a paper visitor book, or another digital solution?

Before we implemented the SwipedOn System we were using a large A3 paper sign in book to track all visitor's details.

Did you have any feedback from employees and visitors regarding SwipedOn?

SwipedOn has been popular with staff from the get-go, mainly because it is so easy to use. As the Pocket app gets more and more functionality (like the ability for employees to preregister their own visitors) we can only see SwipedOn becoming more and more ingrained in our business.

Did you face any challenges post-implementation, and if so, how were they addressed?

The main issue we faced was employees forgetting to sign in, so once the auto sign in feature was released that made things super simple for us.

On the whole, SwipedOn is so easy to use that we didn’t really face any challenges, and now that it’s established - new employees are already familiar with it as they likely had to use it as a visitor during their interview process.

What has your overall experience been like with SwipedOn?

Three words - easy, easy, EASY! Not many software systems are this intuitive and simple to use AND do all the things you need.
